Your customers trust you with their data—and you trust us to keep it safe. This policy outlines what we collect, how we use it, and the controls you have to manage your information.

1. Information We Collect

We collect information that you provide directly to us when you create a ProFlow360 account, configure your workspace, or communicate with our team. This includes contact details, company information, billing records, and any content you upload to the platform.

We also collect technical information automatically when you access the Services, such as IP address, browser type, device identifiers, and usage analytics. This helps us secure your workspace and understand how the product performs.

  • Account information (name, email, phone number, company, role).
  • Workspace data (customers, jobs, files, messages, automations).
  • Support interactions (tickets, call recordings, chat transcripts).
  • Usage metrics (feature adoption, session duration, error logs).

2. How We Use Your Information

We use the information we collect to deliver, maintain, and improve the Services; to personalize the product experience; and to communicate with you about updates, security alerts, and support resources.

Workspace data is processed only as needed to provide the features you configure, such as automations, dashboards, and document workflows. We do not sell workspace data to third parties.

  • Operate and optimize CRM features, integrations, and analytics.
  • Provide onboarding, training, and ongoing customer support.
  • Send operational notices, billing reminders, and product announcements.
  • Detect, prevent, and investigate security incidents or misuse.

3. Sharing & Disclosure

We may share information with service providers who help us host infrastructure, process payments, deliver emails, or provide customer support. These partners are bound by confidentiality and data protection obligations.

We may disclose information if required by law, regulation, or legal process, or if we believe disclosure is necessary to protect the rights, property, or safety of ProFlow360, our customers, or the public.

4. Data Retention

We retain account information for as long as you maintain an active subscription. After termination, we retain workspace data for up to 30 days to support export requests, unless you request immediate deletion or shorter retention.

We may retain aggregated or anonymized analytics data for longer periods to help improve the Services without identifying individual customers.

5. Security

We implement administrative, technical, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, or destruction.

Security measures include role-based permissions, audit trails, encryption in transit, secure hosting, regular vulnerability assessments, and incident response playbooks.

6. Your Choices

You can access, update, or delete profile information directly within the application. Workspace administrators control user provisioning, data retention settings, and integrations.

You may opt out of marketing communications by following the unsubscribe instructions in our emails or by contacting us. Operational notices related to your account will continue to be delivered.

7. International Data Transfers

ProFlow360 operates in the United States and may transfer information to countries where we or our service providers maintain facilities. When transferring personal data, we rely on lawful transfer mechanisms such as Standard Contractual Clauses or other safeguards approved by applicable regulators.

8. Children's Privacy

The Services are not directed to individuals under the age of 16, and we do not knowingly collect personal information from children. If we learn that a child has provided personal information, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy to reflect new features, legal requirements, or feedback from customers. When changes are material, we will notify you via email or in-app messaging before the revised policy becomes effective.
